Client Care Specialist

Full-Time Positions

Job Purpose:
Provide friendly and responsive customer services for check-in and check-out, as well as schedule appointments for our customers.  Be knowledgeable about services, practices and the appropriate level of communication with clients.

Essential Functions:

  • Provide friendly, responsive and personalized customer service in a busy environment.
  • Handle telephone and email traffic to coordinate appointments, and client communications to other staff members.
  • Check-in and check-out customers using clinic software.
  • Use POS system for sales.
  • Rotate through the Largo Wellness Clinic as required, to provide CCS duties.
  • Keep accurate and updated records and enter data as required into practice management software.
  • Assist other medical team employees as needed.
  • Maintain a clean and safe work environment.
  • Participate in required meetings and trainings.
  • Professionally represent SPCA Tampa Bay at all times.

Qualifications:

CEO Assistant

Full-Time Position

Job Purpose:
Provide advanced, diversified and confidential administrative duties to the CEO and management team.  Utilize broad and comprehensive experience, skill and knowledge of organization policies and procedures to coordinates designated projects.  Help conserve CEO’s time and promote the organization’s image by representing the CEO externally to customers and vendors.

Essential Functions:

  • Manage the CEO’s workload to ensure CEO is adequately prepared for meetings with internal and external parties. Duties may include preparing meeting agendas and other advance documents, providing background information and ensuring the CEO is briefed on daily schedule.
  • Provide high-level and confidential administrative support. Tasks may include answering phones, filing, photocopying, coordinating conference calls and transcribing notes.
  • Prepare routine and complex correspondence, including letters, memoranda, reports and emails.
  • Provide primary administrative support for the Board of Directors, attending all meetings and assisting with agenda development and meeting documentation.
  • Serve as liaison with designated consultants and coordinate all travel logistics, agendas and advance work to be completed by CEO and leadership team members.
  • Organize organization-wide events including logistics, agendas and coordination with presenters, both internal and external.
  • Complete preliminary negotiations with vendors as designated by the CEO.
  • Create monthly operational and financial reports.
  • Use project management tools to organize and complete projects as assigned, including appropriate progress tracking and reporting.
  • Provide friendly, responsive and personalized customer service.
  • Keep, and ensure staff keep, accurate records, and enter data as required into appropriate software systems.

Qualifications:

Education:

  • Bachelor’s degree preferred

Licensure or Certification:

  • Valid Florida driver’s license with acceptable driving record
  • Certified Associate in Project Management (CAPM) or Project Management Professional (PMP) helpful

Experience:

  • Minimum five years working in a computerized office environment, including extensive data entry, maintaining detailed project files, and composing and preparing correspondence and other materials
  • Two or more years of experience working as a project coordinator or project manager in a business, academic institution or non-profit preferred

Demonstrated Competencies:

  • Able to organize, prioritize multiple projects and meet deadlines in a time-sensitive environment

Certified Veterinary Technician

*St. Petersburg Veterinary Center Location

Full-Time Position

Job Purpose:
Provide medical care to client pets under the direction of the St Pete Veterinary Center Veterinarians’ instructions and standard business and medical operating procedures.  Serve in one or more assigned nurse roles on designated shift as personal certifications allow.

Essential Functions:
Treatment Nurse

  • Assist Veterinarians with treatment procedures and exams.
  • Complete initial exam work-up, and start the exam process for the veterinarian, including the gathering of pertinent medical and environmental information, based on Veterinary SOP.
  • Perform routine procedures including, micro chipping, vaccinations, wound cleaning, injections and blood sampling.
  • Perform and interpret routine laboratory procedures including skin scrapes, DTMs, ear cytology and microfilaria exams.
  • Complete daily, or as otherwise scheduled:
    1. Perform treatments of hospitalized patients, including post-operative medications, and other necessary medical tasks.
  • CVT Treatment Nurses Only – Under direct supervision and with approval of supervising veterinarian
    1. Induce anesthesia and intubate pets.
    2. Perform cystocentesis.
    3. Perform simple extractions.

Surgery Nurse

  • Coordinate daily surgical cases.
  • Perform routine dental cleanings.
  • Administer sedation and anesthesia medications.
  • Intubate and maintain pets on oxygen and/or gas anesthesia.
  • Monitor pets under anesthesia and adjust levels based on evaluation of pet.
  • Log Controlled Drugs per DEA guidelines.
  • Monitor recovery of anesthetized pets.
  • Place animals in the appropriate recovery areas after surgery is completed.
  • Ensure records are updated thoroughly and accurately, with surgery notes, treatments, and data prior to moving to next stage.

All Nurses

  • Provide friendly, responsive and personalized customer service.
  • Keep accurate and updated records and enter data as required into AVIMark software.
  • Assist other medical team employees as needed.
  • Be able to interact with the public and discuss medical issues with clients.
  • Understand and communicate effectively Clinic policy and practice on service provision, medical standards and routine care.
  • Maintain a clean and safe work environment.
  • Participate in required meetings and trainings.
  • Ensure DEA compliance with Controlled Substances (i.e. buprenorphine)
  • Professionally represent SPCA Tampa Bay and the St Pete Veterinary Center at all times.

Animal Welfare Associate

Single Full-Time Position

Job Description:

Provide care for animals, maintain cleanliness of kennels and support the adoption process.

Essential Functions:

  • Guide adopters through the adoption process onsite and offsite
  • Advise as to types of animals available.
  • Meet and greet between animal and customer.
  • Dog to dog introductions.
  • Preparation and review of adoption contract.
  • Review Medical records and general animal husbandry.
  • Respond to adoptions line, voice mail and email inquiries.
  • Assist with Homeward Bound Gift Shop cleaning, restocking, pricing, and customer service.

Manager of Annual Fund

Single Full-Time Position – salary is mid-30s commensurate with experience

Job Description:

The Manager of Annual Fund develops and implements the annual fund strategies and programs that include the identification, cultivation, solicitation, and stewardship of annual gifts from donors and prospects through personal solicitations and other methods.

Essential Functions:

  • Plan, develop and implement a strategic plan of action with objectives, timelines and evaluation plans for the Annual Fund program that includes identification, cultivation, solicitation and stewardship of constituents.
  • Works closely with Managing Director and other departmental directors to ensure coordination with their respective fundraising efforts.
  • Uses development database and report writing software to retrieve data. Performs comprehensive analysis and manipulation related to all aspects of the annual fund program.
  • Uses statistics to evaluate current Annual Fund programs and to make recommendations for program changes.
  • Assists the Director of Development Operations in developing systems and records that provide proper documentation and tracking of annual fund operations.
  • Ensures open communication with Development Directors regarding contact of potential donors.
  • Responsible for writing and evaluating Annual Fund program and reporting of program’s progress to the Managing Director for presentation to Board of Directors.
  • Develops and implements a plan of reporting of Annual Fund.
  • Represents annual fund issues and promotes community awareness and support for the annual fund program.
  • Responsible for the identification and submission of grants that support the mission of SPCA Tampa Bay.

Intake Counselor

Single Full-Time Position

Job Description:
Facilitate the transport and intake processes for strays, owner surrenders, transfers and owner requested euthanasia; coordinate lost and found processes.

Essential Functions:

  • Facilitate the Intake process for all Strays, Owner Surrenders, Transfers and Owner Requested Euthanasia intakes.
  • Drive company vehicle to retrieve sick or injured animals.
  • Assist customers with lost and found reports, offering advice on finding a lost animal, referring as needed to county resources.
  • Complete Return to Owner (RTO) paperwork when an injured stray has been brought to the shelter, per the SOP.
  • Educate and assist the public in regards to the importance of proper pet identification.
  • Assist in the transport of animals from approved Placement Partners.
  • Maintain vehicle and equipment in good mechanical, sanitary and safe conditions.
  • Collect detailed behavioral and background information from customers relinquishing animals, in accordance with established Standard Operating Procedures and laws.
  • Prepare reports and receipts per Standard Operating Procedures (SOPs)
  • Work hand in hand with Medical and Behavior to determine appropriate outcomes for animals being brought into the shelter.
  • Offer advice and counseling to pet owners who are considering animal relinquishment, and offer alternatives where appropriate.
  • Dispatch humane investigations calls in accordance with established protocols.
  • Answer phone calls promptly and courteously, following established customer service scripts.
  • Provide friendly, responsive and personalized customer service.
  • Keep accurate and updated records and enter data as required into appropriate shelter software.
  • Maintain a clean and safe work environment.
  • Participate in required meetings and trainings.
  • Professionally represent SPCA Tampa Bay at all times.

Education

  • High school diploma or GED certificate.
  • Proficient in spelling, arithmetic.

Experience:

  • One to two years of part-time or full-time general work experience preferred.
